The Secretary (Music) provides secretarial, administrative and clerical support to the Dean and the School of Music. Reporting to the Dean and the Executive Officer (EO), the appointee supports the effective operation of the School through administrative, communication, co-ordination and event-related functions. The main responsibilities are as follows:

(a) Provide secretarial and administrative support to the Dean, including diary management, meeting co-ordination, correspondence and record-keeping.
(b) Handle enquiries and co-ordinate communication with academic staff, students, visiting artists and external organisations.
(c) Support academic and student-related administration, including programme, assessment and student record matters.
(d) Assist in organising School activities, performances, masterclasses, conferences, meetings and special events.
(e) Co-ordinate travel, accommodation, visa applications and other logistical arrangements for visiting artists and guests.
(f) Provide administrative support for procurement, reimbursement, budget monitoring and other financial processes.
(g) Serve as secretary to committees and meetings, including the preparation of agendas, papers and minutes.
(h) Perform translation and interpretation duties as required.
(i) Carry out any other duties as assigned by the Dean of the School of Music or his/her delegates.

Requirements:
(a) A recognised degree or equivalent qualification.
(b) Relevant experience in secretarial, administrative or office support work, preferably in tertiary education, arts or cultural organisations.
(c) Excellent communication and interpersonal skills.
(d) Good command of written and spoken English and Chinese, including Putonghua.
(e) Proficiency in Microsoft Office applications and Chinese word processing.
(f) Ability to work independently, manage multiple priorities and maintain confidentiality.

TERMS OF APPOINTMENT
Appointment will be on a two-year renewable contract, subject to performance and mutual agreement.  A gratuity payment may be granted upon satisfactory completion of the full contract. Fringe benefits include leave, medical, and dental benefits. The starting salary will be commensurate with qualifications and experience.
