The Registry, in collaboration with Schools, academic departments, and administrative units, supports the development and implementation of academic regulations and relevant policies. It provides key Academy-wide academic services spanning the full study cycle from admission to graduation. As the executive arm for quality assurance and enhancement, the Registry covers programme approval, monitoring and review, internal and external accreditation, and conduct various student surveys. The Registry also provides secretarial support to academic committees, including the Academic Board and its institutional-level boards and committees.
Reporting to the Assistant Registrar (Academic Services) and Academic Services Manager, the Assistant Executive Officer (AEO) will work closely with Schools, academic departments, and other stakeholders to
• Coordinate operations and projects within the Registry;
• Provide administrative support to ensure quality delivery of various academic services; and
• Deliver a wide range of Registry functions, including course registration, student records, progression and graduation, and preparation of statistical reports.
While the appointee may be assigned predominantly to one service area within the Registry, there are likely to be opportunities to gain experience across teams on various projects as necessary. The successful candidate will be initially posted to the Course Registration, Records and Graduation Team.
Applicants should have:
(a) A Bachelor’s Degree from a tertiary institution, or equivalent;
(b) At least three years of working experience; preferably in higher educational institutions or other relevant administrative settings;
(c) Good command of spoken and written English and Chinese (Cantonese and Putonghua) to communicate effectively in a helpful and professional manner;
(d) Commitment to a proactive and service-oriented work attitude, self-motivation, good analytical ability and judgement and high degree of reliability;
(e) Good technical aptitude with strong logical, problem solving, multitasking and decision-making skills;
(f) Good interpersonal, organisational and time management skills to deliver high quality services effectively and efficiently; and
(g) Good numerical sense, database management literacy, and hands-on knowledge of the operation of student information system as well as the application of MS Word, Excel, and Access.
TERMS OF APPOINTMENT
Appointment will be on a two-year renewable contract, subject to performance and mutual agreement. A gratuity payment up to 10% of the total basic salary earned during the contract period, may be granted upon satisfactory completion of the full contract. The amount of gratuity payable will be the sum which, when added to the Academy’s contribution to a Mandatory Provident Fund (MPF) scheme as required by the MPF Schemes Ordinance, equals 10% of the total basic salary drawn during the contract period. Fringe benefits include leave, medical, and dental benefits. The starting salary will be commensurate with qualifications and experience.
